LEDC is seeking a bilingual (English/Spanish) detail-oriented and mission-aligned Intake Specialist & Grants Monitoring Coordinator to serve as the first point of contact for clients and visitors while providing essential coordination support across LEDC’s business development, lending, agriculture, and grants functions. This role blends client-facing service with administrative and complianceoriented responsibilities, making it a critical position within the organization’s day-to-day operations.

Reports to: Lending Director
Employment Classification: Full-time, Non-exempt
Location: Saint Paul, MN, (On-site Monday-Friday)

Job Summary:

The Intake Specialist & Grants Monitoring Coordinator is the face of LEDC, the first person clients and visitors encounter, and often the one who sets the tone for the entire relationship. This role goes well beyond front desk operations. It combines client-facing service with hands-on coordination across business development, lending, agriculture programs, and grants monitoring.

Duties & Responsibilities:

  • Greet clients, visitors, and staff warmly and professionally, creating a welcoming environment thatreflects LEDC’s mission.
  • Answer and route incoming calls, emails, and inquiries to the appropriate staff or department.
  • Address client and visitor needs promptly, handling concerns with care and escalating issues to the appropriate team when needed.
  • Provide accurate information and meaningful support to prospective clients and community partners.
  • Coordinate scheduling for meetings, workshops, trainings, and client appointments on behalf of the business development team.
  • Develop and maintain intake forms, evaluation tools, and post-workshop questionnaires to track participation and program effectiveness.
  • Maintain accurate records of business development activities, client interactions, and follow-up communications.
  • Assist the lending team with client inquiries and document processing.
  • Schedule and confirm loan consultation appointments.
  • Ensure all required paperwork is completed accurately, submitted on time, and filed appropriately.
  • Manage incoming and outgoing mail, packages, and deliveries.
  • Collect, organize, and assemble relevant data to support grant reporting in alignment with funder requirements and deadlines.
  • Maintain documentation to support program compliance, audit readiness, and timely reporting submissions.
  • Coordinate across departments to gather necessary information and flag outstanding reporting needs.
  • Maintain organized records, files, and office systems to support day-to-day operations.
  • All staff are expected to support the full scope of organizational programs and initiatives, including marketing and communications efforts. Duties may shift based on organizational need, and all reasonable tasks as assigned are within the scope of this role.

Qualifications:

Required

  • High school diploma or equivalent.
  • Bilingual fluency in English and Spanish, both written and verbal.
  • Minimum of 1–2 years of experience in a front desk, customer service, or administrative role.
  • Proficiency with Microsoft Office Suite, including Outlook, Word, Excel, PowerPoint, Teams, and Planner.
  • Strong written and verbal communication skills with the ability to interact professionally across a wide range of clients, partners, and staff.
  • Highly organized with strong attention to detail and the ability to manage multiple priorities in a fastpaced environment.
  • Professional presence and demeanor, with a genuine commitment to delivering excellent client service.

Preferred

  • Associate’s or Bachelor’s degree in Business Administration, Communications, or a related field.
  • Prior experience working in a nonprofit, community development, or social services organization.
  • Familiarity with small business lending, grant compliance, or economic development programs.
  • Experience supporting multiple teams or departments simultaneously.
